Example scenario

Hand summaries and updates to an AI workflow

An automated flow drafts the text, extracts key points from documents and updates the tracker. The team reviews and approves.

AI writing workflow diagram (example scenario)Six steps. 1, trigger: a new document or note arrives. 2, extraction of the text and useful fields with Python. 3, AI processing in n8n: summary and key points. The flow then splits into two branches. Branch A: 4a, the AI prepares a draft message or summary; 5, a person reviews it before sending; 6, it is sent in a shared format. Branch B: 4b, the Notion tracker is updated automatically. Example scenario, sample data. 1. TriggerNew document or note received 2. ExtractionText and useful fields (Python) 3. 3. AI processing in n8n: summary and key points. The flow then splits into two branches.
  4. In parallel: the AI prepares a draft message or summary (4a) and the Notion tracker is updated automatically (4b).
  5. Review: a person reads the draft before it is sent.
  6. Sending, in a shared format.

The context

Summaries written by hand, information copied from tool to tool, formats that vary from person to person: these tasks take time without needing expertise.

How I go about it

  1. Drafting flow

A flow that produces draft summaries and messages.

  2. Extraction

Key points are pulled from documents into a shared format.

  3. Update

    The tracker updates without re-typing.

  4. Review

A person always approves before anything is sent.

Before and after

Before

  • Summaries written by hand
  • Information copied between tools
  • Inconsistent formats

After

  • Drafts generated automatically, ready to review
  • Notion tracker updated on its own
  • A consistent format

What it changes

Recurring tasks done faster, and one shared format for the whole team.

What about your business?

You can use AI without exposing your data: anonymised data, providers that don’t train on it, or models hosted on your own infrastructure.
